Diamond Holiday Management & Lettings
 
 
Introduction
 
These Terms & Conditions set out the agreement between Diamond Holiday Management & Lettings (“the Company”) and the property owner (“the Owner”). By instructing the Company to manage, advertise, or take bookings for your static caravan or holiday property, you agree to be bound by these Terms & Conditions.
 
 
Our Service
 
The Company provides holiday booking management, guest communication, cleaning coordination, inspections, and general property management services as agreed with the Owner.
 
 
Commission & Payments
•The Company charges 15% commission on all confirmed bookings only.
•No commission is charged on cleaning, inspections, or additional services.
•Owner payments are made after guest arrival, less commission and any agreed deductions.
•Where a booking runs into the following month, payment will be included in the next payment run.
 
 
Owner Responsibilities
 
The Owner agrees to:
•Provide accurate property information, photographs, amenities, and availability.
•Supply keysafe codes and access details and notify the Company of any changes before the season starts.
•Ensure the property is guest-ready, clean, safe, and well-maintained at all times.
•Replace worn or damaged items such as duvets, pillows, mattresses, or furnishings, or authorise the Company to replace these and deduct the cost from rental income.
•Remain reasonably contactable or provide an alternative emergency contact.
 
 
Cleaning & Inspections
•The Company arranges all guest cleans and inspections between stays.
•Owners may choose to arrange their own cleaning and inspections if preferred.
•Costs for cleans or inspections carried out by the Company will be deducted monthly from rental income.
•Properties must meet guest-ready standards before each arrival.
 
 
Safety & Legal Compliance
 
All properties must meet current safety and legal requirements, including:
•Gas Safety: Annual Gas Safety Certificate from a Gas Safe registered engineer.
•Electrical Safety: Safe electrical installations and appliances; periodic inspections recommended.
•Smoke Alarms: Installed on every level of the property and fully operational.
•Carbon Monoxide Alarms: Installed where required and fully operational.
•Compliance with any park or site regulations where applicable.
Safety certificates must be provided upon request.
 
 
Bookings, Cancellations & Non-Honouring
•All confirmed bookings must be honoured.
•If an Owner cancels a confirmed booking without agreement, they may be liable for guest refunds, relocation costs, and lost commission.
•Repeated failure to honour bookings may result in removal from the Company’s listings.
 
 
Damage Bonds & Guest Terms
•The Company manages all guest Terms & Conditions and damage bonds.
•Damage bonds are returned to the guest once the property is inspected and confirmed satisfactory.
•Where damage occurs, bonds may be used (with Owner agreement) towards repair or replacement costs.
•Any costs not covered by the bond may be deducted from rental income.
 
 
Repairs & Replacements
•Where repairs or replacements are required, the Company will seek Owner approval before proceeding (unless urgent).
•Approved works will be arranged and the cost deducted from rental income.
 
 
Insurance
 
The Owner must maintain adequate insurance, including:
•Property damage cover
•Public liability insurance (minimum £5 million recommended)
•Loss of rental income
•Malicious damage cover caused by guests (strongly recommended)
Proof of insurance may be requested.
 
 
Data Protection
 
The Company processes Owner and guest data in accordance with UK GDPR.
Personal data is used solely for booking and property management purposes.
 
 
Access to Property
 
The Company may access the property with reasonable notice for inspections, maintenance, or safety checks. Immediate access may be required in emergencies.
 
 
House Rules
 
Owners must provide clear house rules (pets, smoking, noise, occupancy limits) for inclusion in guest communications. Guests are required to comply with these rules.
 
 
Termination
•Either party may terminate this agreement with 30 days’ written notice.
•Termination does not release the Owner from the obligation to honour existing confirmed bookings.
 
 
Amendments
 
The Company reserves the right to amend these Terms & Conditions. Owners will be notified of any changes. Continued use of the Company’s services constitutes acceptance.
 
 
Governing Law
 
These Terms & Conditions are governed by the laws of England & Wales.
Any disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.
